A multiday conference that outgrew its original scope.

MES was engaged to manage designated portions of a regional leadership conference. As planning advanced, the work expanded into full production across simultaneous meetings, hospitality environments, transportation movements, registration, entertainment, and a formal closing gala.

The Challenge

The program involved hundreds of attendees, nearly 600 room nights, multiple planning committees, hotel departments, technical partners, offsite movements, nightly programming, and rapid transitions between several event formats.

The MES Response

MES built the operating structure, deployed a trained 12-person onsite team, and owned the daily registration experience, including Cvent check-in, on-demand badge printing, guest assistance, printed and digital program distribution, and live troubleshooting.

  • Committee + stakeholder coordination
  • Hotel + vendor liaison
  • Cvent registration operation
  • On-demand badge printing
  • Run-of-show management
  • AV + IT coordination
  • Transportation movements
  • Food + beverage oversight
  • Security + access coordination
  • Entertainment transitions
  • Collateral design + printing
  • Onsite production + breakdown

The Result

MES resolved the registration bottleneck and operated three to four active spaces each day with a 12-person production team. The team managed a complex guest journey spanning executive meetings, general sessions, excursions, hospitality lounges, receptions, a luncheon and fashion presentation, a black-tie gala, a memorial program, and a farewell brunch.
